How to Sign a PDF Without Printing

Printing a contract, signing it, scanning it, and emailing it back is a ritual nobody enjoys. The good news: you can sign a PDF electronically in under a minute, with no printer, no scanner, and no special software — and your document never has to leave your computer.

What You Need

Just two files: the PDF you need to sign, and an image of your signature. To create the signature image, sign your name on a blank sheet of white paper and take a photo with your phone, or scan it if a scanner is handy. Crop the photo so just the signature remains, then save it as a JPG or PNG. For the cleanest result, use a dark pen and good lighting — a PNG with a transparent background looks best, but a white-background JPG works fine too.

Is an Electronic Signature Legally Valid?

The exceptions are documents that legally require notarization or original signatures, such as wills in some jurisdictions, deeds, and court filings. When in doubt, ask the party requesting the document what format they accept.

Tips for a Professional Result

• Size matters. Keep the signature close to its natural size — a giant signature looks odd and a tiny one can be mistaken for a print defect.
• Sign above the printed name line. Position the image so it aligns with the signature line on the form, the way you would with a pen.
• Use slight opacity for scanned forms. If the signature covers typed text underneath, a little transparency keeps the document readable.
• Check every page. Multi-page contracts sometimes have signature blocks on multiple pages — use the "apply to all pages" option or stamp each page individually.
